An office move needs owners, not loose ends.

Put the inventory, access arrangements and responsibilities in one place. Everyone should know what is moving, where it belongs and who is handling each task.

Choose one move coordinator

Name a person who can make decisions and keep the final plan up to date. Give them contact details for DNE, both building managers, the landlord and your IT provider.

Create a short responsibility list. Include packing, equipment disconnection, confidential records, access, staff communications and delivery sign-off. A task without an owner is easy to overlook.

Make the inventory and the new layout agree

Count furniture and equipment by room or department. Identify what will be reused, stored elsewhere or cleared. Keep those categories separate, particularly when unwanted items are waste rather than part of the move.

Use room names or desk numbers from the new floor plan on every label. Give a copy of the plan to the person receiving the load. Avoid different names for the same room across documents.

Book access with both buildings

Check loading areas, goods lifts, vehicle height limits and any restricted working times. Find out whether the building manager requires an induction or protection for floors and communal areas.

Pass the confirmed arrangements to DNE. If access depends on a named person, make sure they will be present throughout the relevant window.

Keep technical work separate

Agree backups, shutdown, disconnection and recommissioning with your IT provider. Make a record of equipment connections for your own team where useful. Keep passwords, confidential documents and customer data out of photographs sent for a moving quote.

Decide who will carry sensitive items and who is responsible for secure storage. Transporting office furniture does not automatically include data handling or secure destruction.

Before staff leave the old office

  • Check that each box and item has a destination label.
  • Confirm which equipment must remain operational until the last moment.
  • Keep the access contacts and final inventory available.
  • Communicate how staff will get into the new building.
  • Identify any remaining landlord handover tasks.

At delivery, check the agreed items and placement with the receiving contact. Test systems with your IT team before assuming the office is ready for normal work.
